Privacy Commitment

We ask for the least amount of information necessary, gathering only what is necessary for doing business, or for the specific transaction at hand. The goal of this policy is to make explicit the information we gather on our customers and users, and how we will use it.

Scope of this Privacy Policy
This Privacy Policy applies to all Solid Square websites that link to this policy. It also applies to the products and services provided by Solid Square through these websites and our mobile applications.

This Privacy Policy is divided into three parts:

Part I – Information that Solid Square collects and controls
This part deals with how Solid Square collects and uses information about website visitors, potential customers, users of Solid Square products and services, and others who contact Solid Square through forms or email addresses published on or linked to our websites.

Part II – Information that Solid Square processes on your behalf
This part deals with how Solid Square handles data that you provide to Solid Square when you use our products and services, or when you share any personal or confidential information with us while requesting technical support.

Part III – General
This part deals with topics that are relevant to both parts I and II, and other general topics.

 

Part I – Information Solid Square collects and controls

What information Solid Square collects

We collect information about you only if we need the information for some legitimate purpose. Solid Square will hold information about you only if (a) you have provided the information yourself, (b) Solid Square has automatically collected the information, or (c) Solid Square has obtained the information from a third party.

Information that you provide to us
Account sign up: When you sign up for an account to access one or more of our services or purchase one of our products, we ask for information like your name, contact number, email address, company name, inspector name(s) and country to complete the account sign up process or purchase.

Other form submissions: We record information that you provide when you (i) register for webinars or seminars, (ii) submit a form in order to download any product or other materials, (iii) participate in contests or respond to surveys, or (iv) submit a form to request technical support or to contact Solid Square for any other purpose.

Payment processing: When you buy something from us, we ask you to provide your name, contact information and credit card information or other payment account information. When you submit your card information on our website this information is processed by a third party and we do not retain the card information. If your purchase is completed via telephone we maintain credit card information on paper which is stored in a secured location.

Testimonials: when you authorize us to post testimonials about our products and services on websites, we may include your name and other personal information in the testimonial.

Interactions with Solid Square: We may record the details of and analyze your interactions with us, including email, telephone, and chat conversations with our sales and technical support professionals, for improving our interactions with you and other customers.

Information that we collect automatically

Information from browsers, devices and servers: When you visit our websites, we collect information that web browsers, mobile devices and servers make available, such as the internet protocol address, browser type, language preference, time zone, referring URL, date and time of access, operating system, mobile device manufacturer and mobile network information. We include these in our log files to understand more about visitors to our website.

Information from first party cookies and tracking technologies: We use temporary and permanent cookies to identify users of our services and to enhance user experience. We also use cookies, beacons, tags, scripts, and other similar technologies to identify visitors, track website navigation, gather demographic information about visitors and users, understand email campaigns effectiveness and for targeted visitor and end user engagement by tracking your activities on our websites. We also use first party Local Storage Objects (LSOs) such as HTML5 to store content information and preferences to provide certain features.

Information from application logs and mobile analytics: We collect information about your use of our products, services, and mobile applications from application logs and in-house usage analytics tools, and use it to understand how your business use and needs can improve our products. This information includes clicks, scrolls, features accessed, access time and frequency, errors generated, performance data, storage utilized, user settings and configurations, devices used for access and their locations.

Information we collect from third parties

Referrals: If someone has referred any of our products or services to you through any of our referral programs, that person may have provided us your name, email address and other personal information. You may contact us at info@solidsquare.io to request that we remove your information from our database. If you provide us information about another person, or if another person gives us your information, we will use that information only for the specific reason for which it was provided to us.

Information from our reselling partners: If you contact any of our reselling partners, or otherwise express interest in any of our products to them, the reselling partner may pass your name, email address, company name and other information to us. If you register for or attend an event that Solid Square attends, the event organizer may share your information with us.

Information from social media sites and other publicly available sources: When you interact or engage with us on social media sites such as Facebook through posts, comments, questions and other interactions, we may collect such publicly available information, including profile information, to allow us to connect with you, or better understand user reactions and issues. Once collected, this information may remain with us even if you delete it from the social media site(s).

Purposes for using information

We may use your information for the following purposes:

  • To communicate with you about products that you have downloaded, changes to this Privacy policy, changes to Terms of Service, or important notices.
  • To keep you informed about new versions of our products, upcoming events, offers, promotions and other information that we think might be of interest to you.
  • To ask you to participate in surveys, or solicit feedback on our products and services.
  • To set up and maintain your account.
  • To understand how users use our products and services, to monitor and prevent problems, and to improve our products and services.
  • To provide customer support, and to improve our interactions with customers.
  • To update, expand and analyze our records, identify new customers, and provide products and services that may be of interest to you.
  • To analyze trends, administer our websites, and track visitor navigations on our websites to understand what visitors are looking for.
  • To monitor and improve marketing campaigns.

Legal basis for collecting and using information

If you are an individual from the European Union (EU), our legal basis for information collection and use depends on the personal information collected and the context of its collection. Our information collection and processing activities are normally based on (1) contractual necessity, (2) one or more legitimate interests of Solid Square that are not overridden by your data protection interests, or (3) your consent. We may be legally required to collect your information, or may need your personal information to protect your vital interests or those of another person.

Where we rely on your consent as the legal basis for our actions, you have the right to withdraw your consent at any time, but this will not affect any processing that has already taken place.

Where we rely on legitimate interests as the legal basis and those legitimate interests are not specified above, we will clearly explain to you what those legitimate interests are at the time that we collect your information.

Your control over information use

You can disable browser cookies before visiting our websites. If you do so, you may not be able to use certain features of the websites.

You can choose not to provide optional profile information. You can also delete or change your optional profile information. You can choose not to fill in non-mandatory information when you submit any form to us.

How we share your information

All Solid Square entities have access to the information covered in Part I. We share your information only in the ways that are described in this Privacy Policy.

Employees and independent contractors of all Solid Square product lines have access to the information covered in Part I on a need to know basis. We require all employees and independent contractors to follow this Privacy Policy for personal information that we share with them.

We may need to share your information with third party service providers such as event organizers, advertising partners and payment processors. These service providers are authorized to use your information only as necessary to fulfill their obligation to us.

We may share your personal information with our authorized reselling partners, solely for the purpose of contacting you about products that you have purchased or inquired about. We will give you an option to opt out of continuing to work with that partner.

Your rights regarding personal information we hold about you

If you are an individual from the European Union (EU), you have the following rights with respect to personal information that we hold about you.

Right to Access: You have the right to access the categories of personal information that we hold about you, including the information’s source, purpose and period of processing.

Right to Rectification: You have the right to update the information we hold about you or to rectify any inaccuracies.

Right to Erasure: You have the right to request that we delete your personal information in certain circumstances.

Right to Restrict Processing: You have the right to request us to restrict our use of your personal information in certain circumstances. This right may not apply where we have an overriding legitimate grounds for its use.

Right to Data Portability: You have the right to transfer your information to a third party, in circumstances where the information is processed with your consent or by automated means.

Right to Object: You have the right to object to the use of your information in certain circumstances.

Right to Complain: You have the right to complain to the appropriate supervisory authority if you have any grievance against us regarding the way we collect, use or share information.

Retention of Information
We retain your information for as long as it is required for the purposes for which it was collected. Sometimes we may retain your information for longer periods as permitted or required by law.

 

Part II – Information that Solid Square processes on your behalf


Information provided in connection with services: You may entrust us with information that you or your organization control, in connection with use of our products and services, or for requesting technical support for our products. This includes information regarding your inspections and customers which may either be stored on our servers when you use our products or services, or transferred or shared with us as part of a request for technical support.

Information from mobile devices: when you elect to allow it, some mobile applications have access to the camera, call history, contact information and other information stored on your mobile device. Our applications require such access to provide their services.

All information entrusted to Solid Square is collectively referred to in the Privacy Policy as “Third Party Data”.

We process your Third Party Data when you provide it to us. For example when you contact us for technical support and provide example files, or store files on our servers.

We may provide access to your Third Party Data to our employees and independent contractors in providing services so they can identify, analyze and resolve technical support issues.

Retention of Information
We may hold the Third Party Data as long as you choose to use our products or services. If you terminate your use of our products or services, your data will eventually be deleted from our active databases.

 

Part III – General

Children’s personal information

Our products and services are not intended for use by individuals under the age of 16. If we are informed that someone under the age of 16 has provided us with personal information we will take steps to delete such information. If you believe that a child under 16 has provided us with personal information, please contact us at info@solidsquare.io.

Do Not Track (DNT) requests

Some internet browsers have enabled “Do Not Track” (DNT) features. Currently there is no standard that governs what websites can or should do when they receive a DNT request. For now, we take no action in response to these requests.

External links on our webpages

Some pages of our websites may contain links to websites that are not controlled by Solid Square and not covered by this Privacy Policy. If you submit personal information to any of these sites, your personal information is governed by their privacy policies. As a safety measure we recommend that you not share any personal information with these third parties until you’ve checked their privacy policies.

Blogs and forums

We offer publicly accessible blogs and forums on our websites. Please be aware that any information you provide on these blogs and forums may be used to contact you with unsolicited messages. Solid Square is not responsible for information that you choose to disclose publicly. To request your information to be removed from our blogs and forums, you can contact us at info@solidsquare.io.

Social media widgets

Our websites may include social media widgets such as Facebook “like” buttons. These widgets may collect information such as your IP address and the pages you navigate to in the website, and may set a cookie to enable the widget to function properly. Your interactions with these widgets are governed by the privacy policies of the companies providing them.

Disclosures under legal obligation

We may be required to preserve or disclose your personal information and Third Party Data to comply with applicable law, regulation, legal process or governmental request, including to meet national security requirements.

Our rights

We may disclose personal information and Third Party Data to a third party if we believe that such disclosure is necessary to prevent fraud, investigate any suspected illegal activity, enforce our agreements or polices, or to protect the safety of our users.

Notification of changes

Our Privacy Policy may change from time to time and all updates will be posted on this page. If we make significant changes to the Privacy Policy and you are a resident of the EU, you will be provided at least 30 days advanced notice of the changes by email. Your continued use of our products and/or services after the effective date of the change will be deemed to be your agreement with the modified Privacy Policy.
